Doctor's Recommendation

Your doctor will assess the need for infusion therapy and discuss the treatment plan with you. During this conversation, you'll receive any available educational materials to help you better understand the therapy. These resources can be reviewed at home, providing you with more detailed information before your first infusion session. Once the decision is made, your doctor will submit an order for the therapy, notifying our Pre-Authorization team to begin the process.

Pre-Authorization

Our office will handle all aspects of verifying your insurance coverage and obtaining pre-authorization for your treatment. If approval is needed, our Verification Team will complete and submit the necessary paperwork directly to your insurance provider. Patients are responsible to check with their insurance carrier to determine if recommended therapy is covered under their coverage policy.

In some cases, additional forms may be required, such as those from Patient Assistance Programs, to initiate or continue treatment. We will inform you if such forms are needed and assist you in completing them to ensure a smooth and efficient process.

Scheduling

After the required pre-authorization is secured (if applicable), we’ll work with you to schedule your infusion appointment. Our team coordinates with the infusion clinic and your availability to find the most convenient time for your session.

We will also notify you of your estimated patient responsibility, which will be due at the time of service. This ensures you are fully informed of any costs you may need to cover before your appointment.

Medication Order

We will arrange for your medication through a supplier or specialty pharmacy to ensure it’s ready for your appointment. If your insurance requires you to use a specific specialty pharmacy, you may be contacted by the pharmacy before your appointment to authorize shipment. They will discuss any out-of-pocket costs with you, and timely approval is essential to avoid rescheduling your infusion.

In some cases, the medication may come through a Patient Assistance Program (PAP) provided by the manufacturer. If this applies, we will assist you in navigating the program to ensure that your medication is available for your appointment.

Patient Preparation

You’ll receive detailed instructions ahead of your infusion session, which may include fasting, hydration, or other preparation steps to ensure the therapy is as effective as possible.

Documentation

We will prepare and review all necessary medical documentation, including consent forms, before your appointment. Our goal is to ensure that all paperwork is ready and in order to facilitate a smooth process on the day of your infusion.

Confirmation

Before your infusion, our office will confirm the details of your appointment, including the date and time, so you can plan accordingly.

72 hours before your appointment, you will receive a link via SMS to pre-register your vehicle for parking. Pre-registering ensures a seamless parking experience, as the gate will open automatically for you without the need to use your credit card. Please note that parking is complimentary. If you have mobility concerns, a short-term drop-off lane is also available in front of the building to assist with easier access.

Day of Infusion

On the day of your infusion, please check in with the receptionist upon arrival. We will collect any estimated patient responsibility due at the time of service and have you sign any necessary consent forms. Our team will then administer the prescribed therapy and ensure that your experience is as comfortable and efficient as possible.

Since infusion appointments can take several hours, we suggest bringing items to help pass the time, such as a tablet or e-reader, a favorite book, or headphones for listening to music or podcasts. For your comfort, we recommend wearing comfortable clothing.

To enhance your experience, we offer free Wi-Fi, three TVs for your entertainment, and a selection of snacks and beverages. Our staff is available to assist you throughout your appointment, so please feel free to ask if you need any help or have questions.
